NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) DIVISION: DVC: RESEARCH AND INNOVATION DEPARTMENT: RESEARCH SUPPORT VACANCY: RESEARCH SUPPORT ASSISTANT PEROMNES GRADE: P13 POSITION NUMBER: N002944 3 YEARS FIXED-TERM APPOINTMENT PURPOSE OF THE POSITION Under general supervision, performs a variety of research funding administrative duties for one or more organisational entity to assist the smooth running of the Funding Post-Award Programme.
Job description

General administration and correspondence
·        Responsible for Funding Post-award administrative tasks, including but not limited to:
·        Getting the NRF Beneficiary Reports from the system and updating the control system
·        Keeping the NRF and MRC Researchers and their respective financial assistant database up to date
·        Sending emails to grant-holders when payments were done to transfer awarded funds to their KFS accounts
·        Sending emails to students when bursaries are paid over to student accounts
·        Send out Bursary Control forms to students
·        Check student compliance to student bursary conditions based on info from bursary control forms
·        Monthly checks if students still comply with bursary conditions on Varsite
·        Getting KFS statements for claims and filing it for claim calculations
·        Ensure that bursaries are paid over on correct bursary codes
·        Assist with financial year end procedures and reconciliations
·        Update of student graduation info on NRF system

Filing/Records Management
·        Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
·        Compile, copy, sort, and file records of office activities, business transactions, and other activities according to prescribed records management system.
·        Review files, records, and other documents to obtain information to respond to requests.

 Secretarial duties
·        Handle general enquiries from staff and students.

      Ad hoc
·        Perform ad hoc administrative tasks as assigned by superior for general functioning of the organisation unit
 

Minimum requirements

·        Grade 12 or equivalent
·        Three (3) years’ administrative experience in general office and meeting administration,
·        organisation and management, including record management

The following will be desirable:
·        Formal training in MS Office (Word, Excel, PowerPoint), Internet, Oracle, various applicable systems e.g. Management Information System (NQF 5)
·        Secretarial/Administrative Certificate or Diploma (NQF 5)

Functional/Technical Competencies (Knowledge and Skills):
·        Knowledge of administrative and clerical procedures and systems such as word processing,
·        managing files and records, office procedures and terminology
·        Knowledge and skills with regard to the use of specific office software programs.
·        Knowledge of principles for providing customer and personal services.
·        Knowledge of the structure and content of the appropriate language including the meaning
·        and spelling of words, rules of composition, and grammar.
·        Utilize proper grammar, punctuation, spelling and correct arrangement of information.
·        Ability to utilize various software programs for word processing and spreadsheets.
·        Perform basic mathematical operations with accuracy.
·        Communicate effectively with students, visitors and staff.
·        Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU
·        Ability to prioritise ongoing administrative tasks and manage own time well.
·        Actively look for ways to help staff and clients.
·        Attention to detail.
