Job description

The position will be accountable to the office of SJS and Student Life. Will be responsible for the disciplinary hearings within the residences and other patroned bodies within the University across the three campuses. Will also provide statistics of cases done within those structures to the office of the VC, Registrar and SJS.

KEY RESPONSIBILITIES:
1.    Office Administrative Support
  •  Responsible for data collection and report compilation.
  • Resolve administrative problems by coordinating preparation of reports, analysing data, and identifying solutions.
  • Distribute documentation to residences and other patroned bodies for purposes of hearings.
  • Responsible for administering annual planning of the hearings within the residences.
  • Support the Department’s plan, implement, systems and procedures to evaluate and monitor cases in the residences and patroned bodies.
  • Resolve problems and communicate with a variety of administrative and other stakeholders within the university.
  • Contributes to the management of quality, audit and other internal and external assessments.
  • Ensure that administration, data bases, reports, warnings, outputs, results, etc are up to date.
  • To ensure compliance to university’s policy and manual on Student Discipline as well as residence rules.
  • Demonstrate clear understanding of NWU Policy and Manual on Student Discipline supported by guidance from line manager.
  • Administration of meetings, events and conferences.
  • Records management in terms of the NWU Files Plan.
2.    Stakeholder relations and support
  • Act as the key contact for Student Life, Protection Services, Residences and other Patroned Bodies.
  • Clarify the requirement for efficient work, agree on clear task objectives, organize and delegate work according to respective structures or stakeholders.
  • Initiate, build or lead internal and external networks, maintain relationships over time, establish communication channels for self or others to use in order to ensure dissemination of information in the right format to the right people at the right time, build relationships and contacts to facilitate future exchange of information.
  • Liaise with colleagues, students and staff to exchange information and discuss matters relating to operations.
  • Liaise and negotiate with all stakeholders and sundry.
  • Manage the interface between the Student Life, SJS, Protection Services, SCC and other Patroned bodies.
3.    Training
  • Develop the training manual for the residences and patroned bodies.
  • Provide training on the processes on hearings at the level of residences to the residence’s committees and residence parents.
  • Provide training on the application of the NWU Policy and Manual on Student Discipline.
  • Provide training to SCC and Patroned bodies.
4.    Ad hoc tasks
  • Perform ad hoc administrative tasks as assigned by superior for general functioning of the school/faculty/organisation unit.


Minimum requirements

  • Bachelor’s Degree in Law
  • 1 year experience in administrative environment
  • 2 years’ experience in the required areas of work, e.g. Student Life, SCC

KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
  • Computer skills and knowledge of relevant office administration software such as MS Office Suite, GroupWise, etc
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • The NWU Policy and Manual on Student Discipline and as well as residences rules governing student life in that area
  • Knowledge of the structure stakeholders in terms of Student Life, Protection Services, SCC, Patroned bodies and SJS.
  • Office administration I higher education institutions

KEY BEHAVIOURAL COMPETENCIES:
  • Ability to effectively liaise and communicate with the students and colleagues at various levels and from diverse backgrounds. Customer service orientation by responding to client’s requests promptly and effectively
  • Discretion when handling confidential and sensitive information
  • Ability to work independently or as a part of a team
  • Demonstration of language proficiency in order to function optimally in the various multilingual environments of the NWU
 

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
