PERMANENT POSITION
PURPOSE OF THE POSITION: This position provides key support to the Executive Dean, Deputy Deans, School Directors as well as to academics and administrative colleagues in the Faculty of Education with specific information, processes, and tasks.
The position focuses on setting guidelines and managing risk and compliance processes, records and archives in the Faculty of Education, Faculty committee co-ordinators as well as the committee co-ordinator of CIGS, implementing processes with regard to reporting lines for committees; responsible for communicating with students, DHET, SAQA, Registrar and DVC on behalf of the Executive Dean.
This position involves promoting excellent teaching and learning, and managing application processes for new academic programmes.
Job description
Management and Leadership
- Manage Faculty committee co-ordinators, and co-ordinate training with regard to the compilation of agendas, minute writing, meeting arrangements, records and archives.
- Implement the necessary processes with regard to committees in the Faculty.
- Manage risk and compliance matters and associated processes.
- Communicate with professional and education bodies (DHET, HEQC, CHE, SAQA, etc.), institutional management, staff, students, parents where applicable.
- Control annual renewal process for Faculty Rules and the general information in the Faculty’s Yearbooks, in addition to the UODL Information booklets.
- Co-ordinate HEMIS process within the Faculty.
- Compilation of management statistics for Executive Dean.
- Manage the process for appointing subject and qualification leaders.
- Oversee the registration of new qualifications.
- Responsible for thorough consultation with all academic managers within the Faculty for the implementation of the NWU culture on a day-to-day basis and transparency.
- Arrangements for Inaugural lectures.
- Mentor and develop young staff members and co-ordinate workshops for administrative staff members.
- Engage in the relevant processes for establishing MoAs / MoU’s / SLA’s with foreign institutions as well as the renewing thereof.
- Handle new applications and approval process for new SLPs (Short-Learning Programmes) within the Faculty.
Promote excellent Teaching and Learning
- Chair of the Programme Monitoring Committee of the Faculty, a sub-committee of the Teaching & Learning committee, to assist academics with applying and developing new programmes which are viable and relevant for the education landscape in South Africa.
- Report to Teaching & Learning Committee.
- Responsible for application processes for academic programmes.
- Co-responsibility with the Deputy Dean: Teaching & Learning and the Quality Enhancement Administrator regarding the process and approval and implementation of the Teaching & Learning strategic priorities’ plan of the Faculty.
Intensify Research and Innovation
- Co-responsibility with the Deputy Dean Research & Innovation and the Quality Enhancement Administrator regarding the process and approval and implementation of the Research & Innovation strategic priorities’ plan of the Faculty.
- Involved in the process to strengthen partnerships with international universities.
- Engage in the relevant processes for establishing MoAs / MoUs / SLAs with foreign institutions as well as the renewing thereof. (Finalisation of agreements with the applicant, legal office, foreign institution, Executive Dean, and where necessary, DVC).
- Responsible for the process to apply for research entities.
Integrate and align Community Engagement with core activities (Teaching and Learning, and Research)
- Involved in the approval and implementation process for new Community Engagement projects (related to academic / Short-Learning Programmes SLPs).
- Engage in the relevant processes for establishing SLAs for Community Engagement projects (related to academic / short-learning programmes SLPs).
Minimum requirements
- B Degree in Management & Administration.
- 5 Years’ proven experience in the application of academic programmes and qualifications.
- 5 Years’ proven experience in writing skills: letters, compilation of agendas and minute-taking.
- 5 Years’ proven experience in planning of administrative processes as well as the management of processes.
- 4 Years’ experience in the coordination and management of staff members.
Essential Competencies
- Experience in the Policies & Procedures utilised in compiling processes; and managing / co-ordinating staff members and processes within the Faculty.
- Experience in participating in Faculty management.
- Excellent interpersonal relations and client-service orientation.
- In-depth knowledge of Faculty, academic qualifications and programmes.
- Knowledgeable with regard to the NWU and Faculty organogram, and committee structures.
- Advanced knowledge with regard to the Policies & Procedures involved in the Higher Education environment (DHET, SACE, etc.).
- Knowledgeable with regard to the archiving and record management system/procedures utilised by the NWU.
- Proficient in professional writing/language skills required for the compilation of correspondence and documentation for the Faculty, NWU managers, etc. (where applicable).

- Proficient in an African language.
