NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) FACULTY/ DIVISION: UNIT FOR OPEN DISTANCE LEARNING POSITION NUMBER: N001526 VACANCY: SENIOR PROJECT ADMINISTRATOR PEROMNES GRADE: P10 EMPLOYMENT TYPE: PERMANENT PURPOSE OF THE POSITION To provide strategic support to the Directorate in achieving the overall goals and objectives aligned with the vision and mission of the Unit for Open Distance Learning.
Job description

1.    Business Process Mapping
·         Study the processes for a project/UODL division and map these processes in a user-friendly manner.
·         Evaluate the mapped processes, establish areas that can be streamlined and improved upon.
·         Conduct information sharing and feedback workshops with relevant divisions.
·         Arrange validation sessions for sign-off of proposed processes/maps.
2.    Operational Management
·         Attend business continuity and strategic planning sessions.
·         Support the operational requirements to execute the Directorate’s strategy and Strategic Priorities of the Unit for Open Distance Learning.
·         Assist sections/divisions within UODL with developing and updating of Process Manuals as well as Quality Manuals.
·         Liaise with various divisions to secure the necessary information that will enhance and add value to the compilation.
·         Study discussions and reports by various divisions and incorporate to form a consolidated Business Continuity Plan and Strategic Plan.
3.    Risk Management
·         Working with the director and managers/section heads to monitor activities, processes and procedures to identify risks and, where relevant, prepare plans to mitigate these risks.
·         Compile a risk report incorporating findings and recommendations.
·         Liaison with divisions and management regarding risks identified and finalise plan of action.
·         Compile a final risk report that reflects the various inputs from divisions and recommendations to address/mitigate risks and liaise with Internal Audit Office.
4.    Special Projects
·         Analyse project proposals
·         Formalise processes and evaluate areas requiring attention.
·         Evaluate financial factors and feasibility of the project.
·         Compile a formal report on findings, recommendations and proposed amendments.
5.    Marketing
·         Initiate drives in order to improve the presence (National and International) of the UODL as preferred Distance Learning Provider.
·         Track developments and activities relating to staff and management at UODL that can be highlighted in a monthly newsletter that will be circulated to both internal and external stakeholders.
·         Identify and implement a suitable platform for enhancing communication with internal and external stakeholders.
·         Develop information material for internal and external stakeholders when required.
6.    Relationship Management
·         Assist with the handling of irate queries, when required, on behalf of the Director.
·         Action and respond promptly on behalf of the Director when required, especially with matters that could result in reputational damage.
7.    Directorate Support
·         Provide support to the Director in terms of identifying strategies that will assist with processes, cost saving and the enhancement of services.
·         Attend stakeholder meeting with or on behalf of the Director with regards to any pertinent issues that require attention.
     

Minimum requirements

·         Degree in Public Management / Project Management
·         Three (3) years’ experience in Project Management

The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
