Job description

RESPONSIBILITIES:
 
Responsible for general clerical/administrative tasks, including but not limited to:

Administration and correspondence tasks such as;
  • Operate office machines, such as printing/photocopier/ scanners/facsimile machines, voice mail systems, and personal computers;
  • Type/edit, format and proofread correspondence and other documents, from notes or dictating machines, using computers.
  • Compute, record, and proofread data and other information, such as records or reports.
  • Open, sort, and route incoming mail, answer correspondence, and prepare outgoing mail.
  • Academic Literacy Student queries and enquiries
  • Handle general enquiries from staff, students and public and receive visitors.

Filing/Records Management tasks which include the following;
  • Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.
  • Compile, copy, sort, and file records of office activities, business transactions, and other activities according to prescribed records management system.
  • Review files, records, and other documents to obtain information to respond to requests. Student record management

Student Mark Administration and Finance
  • Finance Accounts management; Budgeting; Finance Report drafting: Month end and Year end; Purchasing and disbursement; Payment transactions etc
  • Student Mark Capturing for Academic Literacy, ICAT, ECAT, IURX
  • Operate NWU internal computing system (KUALI and VSS)
  • Academic Literacy Lecturer Time tabling
  • Academic literacy Student division
  • Administration of TAG and TALL
  • Co-ordination of the Academic Literacy e-fundi pages

Logistics
  • Perform procurement tasks as required, including physical office logistics, arrangement of accommodation during campus visits of school staff, organisation of equipment for meetings & functions, etc.
  • Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

Directorate office support
  • Schedule specific meetings and ensure attendance of key role players at meetings & other communication forums (in the absence of a Secretary).
  • Maintain work schedules, manage calendars and arrange appointments.
  • Make travel arrangements such as bookings and claims.
  • Telephone inquiries, manage office front desk. In addition, one will be expected to Perform ad hoc administrative tasks as assigned by School Director for general functioning of the school.
  • Handle general enquiries from staff, students and public and receive visitors.
  • Human Resources administration Appointments; Remuneration; Queries; Contract drafting and collation


Minimum requirements

MINIMUM REQUIREMENTS:
  • Grade 12 is essential
  • Administration or relevant National Diploma is essential
  • Degree is desirable
  • Administration experience at tertiary institutions is essential
  • Experience/Knowledge in dealing with communities and organising meetings is desirable
  • Experience/Knowledge of NWU systems, purchasing, data and record keeping is essential
  • A minimum of 1-2 years’ experience working in a tertiary Environment
  • Must have excellent computer literacy skills
  • Must have good interpersonal and exceptional administration skills
  • Must have exceptional communication skills and customer service orientated (handling of students, staff and clients)
  • Must have the ability to communicate in English and at-least 1 other South African official language
  • Must have good minute taking skills
  • Must have knowledge of applicable financial and Mark capturing systems: KUALI and VSS
