NORTH-WEST UNIVERSITY (POTCHEFSTROOM CAMPUS) SALA – NWU HIGHER DEGREES ADMINISTRATION VACANCY: SENIOR ADMINISTRATIVE ASSISTANT- ARCHIVE PEROMNES: 12 Purpose of the position: General academic administration in the Higher Degrees office such as to be responsible for allocated tasks and duties related to the academic applications, admissions and registration processes for Masters and Doctoral degrees students on the NWU Potchefstroom Campus, as part of the NWU Higher Degrees Administration Office that operates on all three NWU campuses.
Job description

Responsibilities:
1.      General tasks:
·        To document all records of the Higher Degree Administration division that will form part of this project according to the NWU File section relevant Higher Degrees.
2.      The Archive process:
·        To ensure sorting of files and documents according to NWU File plan
·        To sort files according to activity: Disposal, filing as paper-based record, or saving electronically as permanent records or as a record with a disposal date.
·        To ensure tasks are completed per schedule to reach the deadline of this project
·        To work against checklists to ensure correctness and completeness of records
·        To create list that will be records against with the storerooms will monitor future activity on file extractions -   or deposits.
3.      Ad hoc tasks:
·        As delegated by Coordinators or management of SALA

Minimum requirements

 
       Minimum Requirements:
·        Matric/Grade 12 plus up to two (2) years’ experience in university administration, however experience in the Higher Degrees Administration division will be an advantage
·        Any advanced certificate or three years` Diploma or degree will be added advantage
·        Appropriate computer literacy and telephone etiquette
·        Appropriate knowledge of processes for M and PhD degrees students’ administration.
·        Appropriate knowledge of NWU systems
·        Appropriate knowledge of general office and administrative tasks

·        Ability to plan, organise and prioritize daily tasks.
·        VSS, GroupWise, and Microsoft office software.
·        Ability to deal with clients in a professional manner.
·        Ability to communicate verbally and in writing in a professional manner with all levels of NWU staff and with students.
·        Appropriate knowledge of English and terminology used in the university environment.

·         Ability to stay calm and professional.
·         Ability to manage time effectively.
·         Ability to take the lead to complete tasks when required.
