Job description

PURPOSE OF THE POSITION:
·         The position is to assist the Operational Office with the administrative work flow of the Operational Office. Assist the unit coordinators within Centralised Teaching Learning Functions with administrative tasks and processes. The position will also assist the Operational Office with its primary task of compliance in terms of Occupational Health and Safety and People & Culture functions. As well as good governance in terms of minute taking and record management.

MINIMUM REQUIREMENTS:
·         Higher Certificate in Administration or related field

EXPERIENCE:
·         1 - 3 years’ Administrative experience
·         1 – 3 years’ experience of working within the Higher Education context
·         1 – 3 years’ client-service experience
KEY FUNCTIONAL/ TECHNICAL COMPETENCIES:
·         Computer literate
·         Skilled in the Microsoft Office Suite
·         Excellent Record keeping skills
·         Knowledge of principles for providing proper customer services
·         Accuracy and attention to detail to deliver accurate, high quality service
·         The ability to work in a team, to receive various sources of feedback
·         Good organisational and time-management abilities
·         Must be able to follow instructions and learn new skills
 
JOB DESCRIPTION
KEY RESPONSIBILITIES:
1.    Administration:
  •  Administrative arrangements of functions, meetings, seminars, and workshops for CTLF
  • Travel and Accommodation arrangements for CTLF
  • Records management
  • General administration identified within workflow processes and procedures
  • Provide data for day-to-day operations as well as reporting purposes
  • Formatting of reports
  • Coordinate all arrangements with reception and hosting of staff and guests
  • Set-up of new employees
  • Fault Reporting/ Maintenance requests
  • People and Culture administration and coordination - Ad hoc claims, contracts, performance management cycle, vacancies, leave and flexi-time schedules, declaration of conflict of interest and conference attendance record keeping
2.    Meeting Administration:
·         Coordinate communication (Telephone, email, MS Teams, virtual conferences as well as face to face meetings)
·         Coordinate all arrangements with reception and hosting of staff and guests
·         Coordinate agendas and minutes for all meetings (physical or virtual)
3.    Financial Administration:
·         Financial administration - secondary for primary finance officer
4.    Ad Hoc tasks:
·         Complete ad hoc tasks as directed
5.    Occupational Health and Safety:
·         OHS Secretary for C T&L F sub-committee
6.    Personal Development:
  •   Personal development to build personal capacity
 
The annual total remuneration package will be commensurate with the level of appointment as advertised and in line with the NWU policy guidelines.
